Some Ways We're Building Better Communities

  • Beyond assessment collection and processing, we use DoorLoop to provide boards with real-time financial visibility and streamlined oversight. Boards can review and approve invoices, track payments, and monitor account activity through an integrated, user-friendly system. DoorLoop’s banking integrations allow for up-to-date visibility into transactions and balances, supporting clear and timely financial decision-making.

    Comprehensive financial reports and bank reconciliations are prepared and made available monthly for board review. We also develop and manage annual budgets, assist with reserve planning, and support the coordination of required tax filings—ensuring financial operations remain organized, transparent, and compliant.

  • Each community is supported by a personalized homeowner portal where governing documents, announcements, and other important information are easily accessible. Homeowners can securely view their accounts and make payments online. In addition to the portal, we prepare and distribute timely communications through mail, email, and text messaging to ensure residents stay informed and connected.

  • We support boards through both day-to-day operations and long-term planning by providing hands-on guidance and ongoing educational opportunities. Our team brings deep knowledge of industry best practices and the laws governing community associations, offering the professional insight boards need to make informed decisions. We help guide boards toward regulatory compliance and provide thoughtful recommendations related to governing documents and policies.

  • We offer homeowners multiple convenient payment options, including check, automatic draft, and credit card. Assessments and fees are collected and processed daily in accordance with the community’s collection policies. When additional follow-up is required, our collections team works diligently—always in compliance with applicable laws, regulations, and best practices—to support consistent and effective collections for the association.

  • We support effective governance by preparing board meeting agendas and information packets that promote productive, well-organized board and annual meetings. At the board’s direction, we distribute meeting notices, prepare ballots, and ensure accurate meeting minutes are recorded and made available to homeowners in accordance with the association’s governing documents. We also maintain community records in an organized, secure, and accessible manner.

  • We support the consistent application of community standards through regular site visits to observe conditions, identify concerns, and document violations as directed by the board. In accordance with governing documents, we can also maintain required records such as rental, pet, or other community-specific registries. In addition, we coordinate Architectural Review Committee (ARC) submissions and approvals and maintain detailed historical records for future reference.

  • We support communities with organized maintenance oversight and project coordination. Our team facilitates standardized bid requests to ensure competitive, comparable pricing from qualified vendors and assists with or manages special projects as needed. We coordinate and follow up with service providers on contracted work, and all requests are tracked through our workflow system, which board members can access for real-time visibility.

  • Our team supports smooth ownership transitions by working closely with homeowners, real estate professionals, buyers, title companies, and lenders to provide required disclosures and documentation. Once a sale is complete, we assist new homeowners with account setup and welcome them with our “Welcome to the CommUNITY” packet—an introduction to HOA living that outlines what residents can expect from their community and what is expected of them, helping set the foundation for a positive, connected experience from day one.

  • Our team is trained to assist homeowners with timely responses to questions, concerns, and account needs, providing accurate information and thoughtful guidance. We offer multiple ways to connect and prioritize follow-through, ensuring issues are addressed efficiently and respectfully.
